Position: Executive Assistant-Director
Location : BKC , Mumbai
Secretarial like Email, Phone, Contacts, Calendar & Meeting Management.
Maintain schedules and calendars & accordingly confirm appointments, booking meeting rooms, conferences, travel and hotel arrangements (national as well as international).
To Handle all Income Tax related for Reporting Head.
Preparation & maintenance of confidential reports/files.
To be in regular coordination with all department heads to make sure assignment given by Reporting Head to them is on track and progressing and maintaining same.
Documentation & Processing VISA & other related travel documents.
Making monthly Expense Statement for REPORTING HEAD and preparing detailed itinerary for any outdoor plans.
Maintain a tracker of all contracts and agreements pertaining to Admin & Facilities with properly scanned and kept in a central folder for access to key people for invoice processing, references etc.
Arranging interviews as per assignment given by REPORTING HEAD/CEO till hiring done.
Keeping track of Exhibitions organised outside India for CEO.
Birthdays & Anniversarys reminders to REPORTING HEAD.
Handling Petty Cash for Mumbai office.
Hotel Booking for people travelling to Mumbai.
Front Office Management, Database Management, Asset Management, Insurance Tracker & Renewal.
IT Administration & Telecom In-charge for Mumbai Office, responsible for procuring and maintaining Laptops, Video Conferencing, EPABX, Insurance & warranty Extension.
Regular follow-up with legal consultants to ensure that all legal and statutory requirements are taken care and timely payments are made to the respective departments and companies.
Company Driver & Vehicle Management in Mumbai Office.
Attendance Maintenance & Records for Mumbai team.
Procurement as per any requirement with cost efficiency.
Salary: INR 2,00,000 - 7,00,000 P.A.
